ROLE

The primary responsibility of the Evening House Relations Support is to serve as support to the House Relations Manager (HRM). The Evening House Relations Support is knowledgeable of the mission, goals, and objectives of the Ronald McDonald House of Fort Worth (RMHFW) and assists with all areas of operations.

JOB DUTIES:

OPERATIONS COORDINATION

  • Ensures clear communication with families on all House policies and procedures.
  • Communicates accurate eligibility criteria to referral sources and  families.
  • Works with HRM and House Relations Team (HRT) to ensure an effective transition for coverage.
  • Responsible for accepting referrals.
  • Performs background checks on all adults 18 years and older staying at RMHFW.
  • Performs daily review of census and coordinates with the HRM and HRT on room availability status.
  • Performs check-in and check-out procedures.
  • Assists in kitchen/dining area during dinner and clean up.
  • Communicate with the HRM and HRT regarding family issues.
  • Being available during your work schedule shift over holiday periods
  • Maintains supply of all RMHFW printed materials, including guest packets, and all operations forms.
  • Ensures monetary room contributions are accurately collected and reflected on the family’s record.
  • Assists with the nightly closing of transactions and recording of the day’s activity to the daily log, proper documentation of monetary room contributions, merchandise sales, and accounting for all receipts.
  • Responds appropriately to emergencies and incidents in accordance with the RMHFW Crisis Manual.
  • Assists in the nightly closing of the facility.
  • Performs other duties as assigned.

FACILITY SUPPORT

  • Maintains security of the facility by inspecting the premises and checking all exterior doors once the office has closed.
  • Monitoring and awareness of individuals and groups that have access to the house. • Locks up designated rooms at the end of the shift.
  • Communicates house needs with contract janitorial service during the designated work hours.
  • Maintains working knowledge of RMHFW Crisis Manual.
  • Responds appropriately to emergencies and incidents in accordance with RMHFW policies.
  • Conducts daily inspections of the House, and grounds to identify safety, maintenance, housekeeping, and overall appearance issues, and coordinates resolution with the HRM, maintenance, or service providers; reports maintenance issues as needed.
  • Directs the resolution of maintenance issues to ensure the safety of guest families during designated evening work hours.
  • Ensures cleanliness and readiness of rooms prior to family check-in when applicable

FAMILY SERVICES

  • Demonstrates an atmosphere of warmth, compassion, and support always to ensure a nurturing atmosphere.
  • Maintain positive guest relations.
  • Effectively communicates with referral sources regarding family dynamics, residency status, and any other family concerns.
  • Coordinates check-in and check-out process with the House Relations Manager and House Relations Staff.
  • Provides information to families on current community activities and events in the DFW area, including coordinating RMHFW passes to local attractions.
  • Coordinates the disbursement of all tickets to events that have been donated to the house, working with the House Relations Manager and House Relations Staff to select families to attend.
  • Organizes transportation for families if necessary.

VOLUNTEER/COMMUNITY RELATIONS

  • Provides support and direction to volunteers in collaboration with the Volunteer Services Manager and House Relations Manager.
  • Communicates with Volunteer Services Manager about any unique situations with a volunteer.
  • Ensures that all donations other than monetary donations are entered in the donation book.
  • Assist the early afternoon cooking groups with food storage and kitchen clean up.
  • Conducts tours for volunteers and groups during the morning as needed.
  • Encourages volunteer interaction with families.
  • Maintains an awareness of Board functions and Board members in general.

QUALIFICATIONS: 

  • High School Diploma, some college preferred. 
  • Ability to function as a team member.

  • Detail-oriented and organized.
  • Excellent communication and assessment skills.
  • Proficient in speaking and writing Spanish is a plus.
  • Proficient working knowledge of Microsoft Office software. 
  • Dependable, able to work with minimal supervision.
  • Ability to be flexible and function autonomously.

OVERVIEW: The overall objective is to track, record and acknowledge all monetary donations made to Ronald McDonald House of Fort Worth (RMHFW). The position is responsible for managing the system data to ensure the accuracy and integrity of the database, overseeing data input and output and user training and support. Responsibilities include importing and exporting of data, extracting and analyzing data, report writing, developing and implementing policies to guide data entry, documenting database changes, and making sure that the database effectively captures donor/guest/volunteer information and generates accurate financial and analytical reports.

JOB DUTIES:

Database Management 

  • Ensure the database effectively captures all donation information and generates accurate financial and analytical reports
  • Manage the launch and smooth integration of a new volunteer management database into current work processes
  • Update donor portfolios held by the development team and CEO on a semiannual basis
  • Maintain data accuracy to eliminate duplicate records, inconsistent data, and overall database integrity
  • Serve as a technical consultant as it relates to the preparation and tracking of data entry, reporting, training, mailing lists, and other database functions
  • Oversee the maintenance of the Database Policies and Procedures manual, as well as a training manual, to guide and educate users to improve the flow of information, processes for inputting, and overall database efficiency

 

Weekly Deposit

  • Ensure timely, personalized gift processing while adhering to schedule and accountability
  • Record all checks, cash, ACH, in-kind donations, and credit card payments in the cash log and/or database
  • Prepare weekly deposit for review and approval by CDO and bank deposit by CFO
  • Ensure the integrity of the financial data entered into the database and weekly deposit log

 

Donor Mailings and Donor Lists

  • Compose and generate weekly donor acknowledgement letters
  • Track donor birthdays in the database and send a monthly Donor Birthday List to staff for stewardship purposes
  • Prepare accurate and consistent mailing lists and donor reports, and work with the marketing team to help facilitate mailings for all appeals throughout the year
  • Ensure addresses meet US postal standards and are kept up to date
  • Collect donor information from all matching gifts coming into the organization to ensure that all gifts are properly acknowledged, complete any matching gift forms as necessary to ensure matched gift requests are properly processed
  • Track incoming gifts of stock, QCD, and cryptocurrency through the FreeWill platform and ensure these donations are properly recorded in the database, ensure donors receive proper acknowledgment according to tax law
  • Track individual donations, ACHs, and pledges made to the organization during RMHFW’s participation in the Birdies for Charity program, reconcile with the program liaison on a biweekly basis.
  • Generate and send tax letters as requested
  • Generate additional donor, volunteer, or guest reports as requested

Prospecting and Research

  • Prospect and develop giving profiles for donors based on data available through the donor database in various areas of giving, including, but not limited to: Grants/Foundations, Third-Party Partnerships, Corporate Giving/Sponsorships, Major Gifts, Meals from the Heart, Direct Mail, In-Kind Donations, and Room Sponsorships
  • Research potential new partners through external databases, including, but not limited to: DonorSearch, Instrumentl, Guidestar, and LinkedIn
  • Stay up to date on best practices for data tracking and data management, and make recommendations as needed to improve data integrity and data health
  • Collect and present data to develop solutions and aid decision making for various teams as requested

 

Donor Management

  • First-Time Donors: Conduct initial thank-you phone call, mail specifically tailored acknowledgement letter, and send personalized stewardship through the video platform, Gratavid
  • Maintain a donor portfolio as assigned
  • Assist with donor relations and stewardship activities as needed

Finance

  • Assist finance team with reconciliation between donor database and QuickBooks on a monthly basis
  • Potentially assist the finance team with any special projects throughout the year

 

Special Events

  • Coordinate with Development and Finance team to track event sponsorship payments
  • Generate and send tax letters to event guests following each special event
  • Work special events as required

  • Previous experience with Bloomerang or other donor database software
  • Ability to manipulate data in Excel

Preferred:

  • Previous experience with Greater Giving or other fundraising event software
  • Previous non-profit experience
  • Experience in finance or accounting

About the Marketing and Communications Team

The Marketing and Communications Team is responsible for implementing marketing and communication initiatives that help RMHFW position itself in Fort Worth and the surrounding areas as a top-of-mind non-profit for potential guest families, volunteers, donors, and Board members.

Role

The Social Media Intern helps increase the understanding and support of RMHFW business strategies, goals, brand/programs awareness and key initiatives amongst the company’s various stakeholder groups.

  • Assists in multichannel campaigns to generate awareness and engagement as part of the broader Marketing Communications Team.
  • Helps execute social media strategy across channels and actively manage the RMHFW’s reputation on Facebook, Instagram, Twitter, YouTube, etc. to achieve annual goals.
  • Collaborate with our team to produce, edit, and publish content that promotes conversation and drives engagement across RMHFW social channels.
  • Stay up-to-date on social media best practices.
  • Measure, evaluate, and report on campaigns’ effectiveness to the CCO and compile metrics to assess the performance of communications initiatives and campaigns.
  • Complete tasks in a timely, professional and competitive level.

About You

  • You have the desire to help RMHFW families and make a difference in our communities.
  • You have superior written and verbal communication skills. (A plus if you have knowledge of the Associated Press Style Guide, public relations tactics, and marketing concepts.)
  • You have computer, graphic design, photography, and video skills (i.e., Microsoft Office, Mac, Canva, Adobe).
  • You enjoy scrolling through social media and thinking of ways you could improve reels/shorts/posts.
  • You have an eye for detail and the ability to meet multiple deadlines while working in a fast-paced, multi-tasking environment.
  • You show an ability to work independently and as a team player.
  • You are comfortable leading interns, large groups of volunteers, donors, and other supporters.

Education and Experience

  • College student or recent graduate pursuing Communications or a related field with coursework or experience in Marketing, Communications/Journalism, or Graphic Design.
  • Previous experience and knowledge of social media platforms including Facebook, Instagram, TikTok and LinkedIn.

  • Assist in photography/video shoots, retouch images, and video graphics.
  • Traffic projects throughout creative process and receive constructive feedback on projects.
  • Complete tasks in a timely, professional and competitive level.
