We provide a supportive, home-like community that eases burdens for families experiencing medical crisis, and we are looking for a compassionate, collaborative leader to help guide and strengthen our guest services and family support programs.

Position Summary

The Senior Administrative Coordinator provides administrative and operational support to the Chief Executive Officer, Senior Leadership Team, and Capital Campaign Director while coordinating the organization’s Meals from the Heart program and related hospitality initiatives.

This position plays a key role in supporting executive operations, Board and committee activities, volunteer meal experiences, and organizational hospitality efforts. The role helps ensure efficient operations, strong communication, and a positive experience for families, volunteers, donors, staff, and community partners.

What You’ll Do

  • Provide administrative support to executive leadership, including scheduling, meeting coordination, travel arrangements, expense reporting, and preparation of materials
  • Coordinate leadership, Board, committee, donor, and campaign-related meetings, including logistics, materials, and follow-up activities
  • Support donor stewardship efforts, campaign activities, and organizational communications
  • Manage the Meals from the Heart calendar and serve as a primary relationship manager for volunteer meal groups, coordinating meal experiences and supporting ongoing volunteer engagement
  • Serve as a primary point of contact for volunteers, vendors, and community partners regarding meal scheduling and hospitality logistics
  • Help ensure a welcoming, organized, and mission-centered experience for families, volunteers, donors, and guests
  • Maintain records, reports, and documentation related to volunteer meal services, Board activities, and organizational operations
  • Coordinate office operations, supplies, vendor services, and event logistics
  • Collaborate with departments across the organization to support mission-driven programs, events, and initiatives

Preferred Qualifications

  • Associate’s degree or equivalent professional experience (Bachelor’s degree preferred)
  • Three to five years of experience in administrative support, executive support, operations, hospitality, nonprofit administration, or a related field
  • Experience supporting executives, senior leaders, or nonprofit leadership teams
  • Experience coordinating Board or committee operations
  • Experience with fundraising initiatives, donor stewardship, or capital campaigns
  • Experience coordinating volunteer programs, hospitality functions, meal services, or special events
  • Bilingual (English/Spanish) is a plus

Work Environment

  • Full-time position
  • Work hours may occasionally include evenings, weekends, holidays, or inclement weather support
  • Primarily office-based environment with frequent interaction in kitchen and hospitality spaces
  • Physical demands include movement throughout the facility and occasional lifting/moving items up to 25 pounds

Position Summary

The Guest Services and Programs Director provides leadership and operational oversight for guest services, family-centered programming, and support services at RMHFW. This role supervises the Family Support Services Manager, Volunteer Services Manager, and Guest Services Team to ensure compassionate, consistent, and mission-driven support for guest families.

This position plays a key role in fostering a collaborative, trauma-informed, and family-centered culture while supporting operational excellence, strong partnerships, and high-quality guest experiences.

What You’ll Do

  • Lead, coach, and support guest services and program staff while fostering a collaborative and mission-focused team culture
  • Oversee day-to-day guest services operations, including referrals, room assignments, family support coordination, registrations, reporting, and guest-facing resources
  • Help ensure appropriate staffing coverage and smooth daily operations across guest services and family support areas
  • Help ensure families receive compassionate, trauma-informed, and high-quality support during times of medical crisis
  • Provide leadership and support during sensitive family situations, guest concerns, policy-related matters, and emergency situations
  • Support trauma-informed communication, de-escalation, and problem-solving practices across teams
  • Build and maintain strong relationships with hospitals, referral sources, volunteers, hotel partners, and community stakeholders
  • Support onboarding and education efforts with hospital social workers and referral partners
  • Represent RMHFW at community meetings, partnerships, and special events
  • Partner collaboratively with staff and leadership to identify opportunities for operational and programmatic improvement
  • Support implementation of new processes, initiatives, and best practices that strengthen guest experiences and organizational effectiveness
  • Participate in an on-call leadership rotation as needed

Preferred Qualifications

  • Bachelor’s degree in a related field
  • Minimum of 5–7 years of progressive leadership experience managing staff and programs in a nonprofit, hospitality, social services, or support-focused environment involving frequent interaction with people.
  • Experience working with families in crisis and/or utilizing trauma-informed care practices
  • Experience with program development, community partnerships, volunteer management, or guest services operations
  • Spanish language proficiency is a plus
