WORK HOURS: Full-time non-exempt (FLSA) position, 40 hours/week: Monday – Friday, 8:00 am – 4:00 pm. Some evening and weekend hours may be required.

OVERVIEW: The Development Coordinator will serve as an integral member of the development team and work directly with the Development and MarComm teams to support the overall fundraising mission by managing annual special events, third-party events, development related House events, donor relation events and other events.  The ideal candidate will have a passion for the RMHFW mission; enjoy the fundraising field, LOVE special events and working with stakeholders.  This position requires a highly motivated, creative, and organized professional with excellent writing and verbal communication skills.

JOB DUTIES:

Special Event Management

  • Create and manage master planning timeline for all special events
  • Serve as the manager for special events by collaborating with Development team on sponsorships, MarComm team on marketing materials and potentially a hired Event Consultant on event logistics.
  • Collaborate all event collaterals (program/bidder paddles, signage and other print materials) with MarComm team
  • Meet regularly with Development Manager for status updates on sponsorship goals
  • Prepare ROS and script for all special events and set meetings with key players to review prior to events
  • Responsible for soliciting, recording and organizing all auctions and raffles for special events
  • Maintain all event records including sponsorships and auction items in Greater Giving
  • Collaborate with Database Coordinator to generate timely thank you letters for all auction and in-kind event donations
  • Work with event chairs to organize special event committees and all activities for these committees
  • Produce event reports as needed for the Development and Finance teams
  • Meet with CDO and CFO to manage special event budgets and contracts
  • Work with CFO to execute payments to vendors at special events
  • Plan post event wrap up events and celebrations

Third-Party Event Management

  • Create a plan and prospect list to increase third-party event revenue
  • Coordinate and execute third-party fundraisers and peer-to-peer fundraisers
  • Solicit, cultivate and steward relationships with third-party fundraising donors
  • Manages a portfolio of 50 or more third-party donors and prospects, including research and moves management plans

Other Event Management/Duties

  • Assist Development team by planning and executing donor cultivation and stewardship events
  • Work with House Relations team on coordinating annual tree-lighting event if needed
  • Support development team with assistance on special projects
  • Attend community events, networking events, conferences, education programs and online training to further fundraising knowledge and professional development
  • Collaborate with the RMHFW MarComm on all marketing needs for third-party events, donor cultivation and other events
  • Work with Volunteer Services Manager on coordinating volunteer needs for all event
  • Performs all other duties as assigned

QUALIFICATIONS:

Required:

  • Experience in the non-profit and special event fields
  • Bachelor’s degree from a four-year college or university
  • Ability to function responsibly and autonomously
  • Desire to help RMHFW families and make a difference in your community
  • Positive attitude, flexibility, team player, creative and must have an acute attention to detail in writing and in managing multiple projects
  • Excellent presentation, public speaking and community relations skills
  • Demonstrate excellent communication skills, both written and verbal
  • Proficient working knowledge of Microsoft Office software

 A Plus:

  • Knowledge of basic creative design principles and creative design software
  • Donor database experience

ROLE

The primary responsibility of the Evening House Relations Support is to serve as support to the House Relations Manager (HRM). The Evening House Relations Support is knowledgeable of the mission, goals, and objectives of the Ronald McDonald House of Fort Worth (RMHFW) and assists with all areas of operations.

JOB DUTIES:

OPERATIONS COORDINATION

  • Ensures clear communication with families on all House policies and
  • procedures.
  • Communicates accurate eligibility criteria to referral sources and
  • families.
  • Works with HRM and House Relations Team (HRT) to ensure an effective transition for coverage.
  • Responsible for accepting referrals.
  • Performs background checks on all adults 18 years and older staying at RMHFW.
  • Performs daily review of census and coordinates with the HRM and HRT on room availability status.
  • Performs check-in and check-out procedures.
  • Assists in kitchen/dining area during dinner and clean up.
  • Communicate with the HRM and HRT regarding family issues.
  • Being available during your work schedule shift over holiday periods
  • Maintains supply of all RMHFW printed materials, including guest packets, and all operations forms.
  • Ensures monetary room contributions are accurately collected and reflected on the family’s record.
  • Assists with the nightly closing of transactions and recording of the day’s activity to the daily log, proper documentation of monetary room contributions, merchandise sales, and accounting for all receipts.
  • Responds appropriately to emergencies and incidents in accordance with the RMHFW Crisis Manual.
  • Assists in the nightly closing of the facility.
  • Performs other duties as assigned.

FACILITY SUPPORT

  • Maintains security of the facility by inspecting the premises and checking all exterior doors once the office has closed.
  • Monitoring and awareness of individuals and groups that have access to the house.
  • Locks up designated rooms at the end of the shift.
  • Communicates house needs with contract janitorial service during the designated work hours.
  • Maintains working knowledge of RMHFW Crisis Manual.
  • Responds appropriately to emergencies and incidents in accordance with RMHFW policies.
  • Conducts daily inspections of the House, and grounds to identify safety, maintenance, housekeeping, and overall appearance issues, and coordinates resolution with the HRM, maintenance, or service providers; reports maintenance issues as needed.
  • Directs the resolution of maintenance issues to ensure the safety of guest families during designated evening work hours.
  • Ensures cleanliness and readiness of rooms prior to family check-in when applicable.

FAMILY SERVICES

  • Demonstrates an atmosphere of warmth, compassion, and support always to ensure a nurturing atmosphere.
  • Maintain positive guest relations.
  • Effectively communicates with referral sources regarding family dynamics, residency status, and any other family concerns.
  • Coordinates check-in and check-out process with the House Relations Manager and House Relations Staff.
  • Provides information to families on current community activities and events in the DFW area, including coordinating RMHFW passes to local attractions.
  • Coordinates the disbursement of all tickets to events that have been donated to the house, working with the House Relations Manager and House Relations Staff to select families to attend.
  • Organizes transportation for families if necessary.

VOLUNTEER/COMMUNITY RELATIONS

  • Provides support and direction to volunteers in collaboration with the Volunteer Services Manager and House Relations Manager.
  • Communicates with Volunteer Services Manager about any unique situations with a volunteer.
  • Ensures that all donations other than monetary donations are entered in the donation book.
  • Assist the early afternoon cooking groups with food storage and kitchen clean up.
  • Conducts tours for volunteers and groups during the morning as needed.
  • Encourages volunteer interaction with families.
  • Maintains an awareness of Board functions and Board members in general.

About the Marketing and Communications Team

The Marketing and Communications Team is responsible for implementing marketing and communication initiatives that help RMHFW position itself in Fort Worth and the surrounding areas as a top-of-mind non-profit for potential guest families, volunteers, donors, and Board members.

Role

The Social Media Intern helps increase the understanding and support of RMHFW business strategies, goals, brand/programs awareness and key initiatives amongst the company’s various stakeholder groups.

  • Assists in multichannel campaigns to generate awareness and engagement as part of the broader Marketing Communications Team.
  • Helps execute social media strategy across channels and actively manage the RMHFW’s reputation on Facebook, Instagram, Twitter, YouTube, etc. to achieve annual goals.
  • Collaborate with our team to produce, edit, and publish content that promotes conversation and drives engagement across RMHFW social channels.
  • Stay up-to-date on social media best practices.
  • Measure, evaluate, and report on campaigns’ effectiveness to the CCO and compile metrics to assess the performance of communications initiatives and campaigns.
  • Complete tasks in a timely, professional and competitive level.

About You

  • You have the desire to help RMHFW families and make a difference in our communities.
  • You have superior written and verbal communication skills. (A plus if you have knowledge of the Associated Press Style Guide, public relations tactics, and marketing concepts.)
  • You have computer, graphic design, photography, and video skills (i.e., Microsoft Office, Mac, Canva, Adobe).
  • You enjoy scrolling through social media and thinking of ways you could improve reels/shorts/posts.
  • You have an eye for detail and the ability to meet multiple deadlines while working in a fast-paced, multi-tasking environment.
  • You show an ability to work independently and as a team player.
  • You are comfortable leading interns, large groups of volunteers, donors, and other supporters.

Education and Experience

  • College student or recent graduate pursuing Communications or a related field with coursework or experience in Marketing, Communications/Journalism, or Graphic Design.
  • Previous experience and knowledge of social media platforms including Facebook, Instagram, TikTok and LinkedIn.

  • Support day-to-day objectives and support company design requests as requested.
  • Collaborate with our team to produce, edit, and publish content that promotes conversation and drives engagement across RMHFW multiple media platforms.
  • Adhere to brand guidelines and complete projects according to deadlines.
  • Assist in photography/video shoots, retouch images, and video graphics.
  • Traffic projects throughout creative process and receive constructive feedback on projects.
  • Complete tasks in a timely, professional and competitive level.
